The
Solution
Just-Ask received the order in late December 2001
for a room booking system to be installed at the new Centrica
HQ in Windsor. The system allows the user to log on to the
homepage and to select either a meeting room or hospitality
booking. The user can also book resources (flip charts, video
conference facilities etc) and these resources are managed
automatically by the system. The user can then place a hospitality
booking from our hospitality system by selecting this option
once the booking is complete. Orders can only be confirmed
with valid cost codes. Car park spaces can also be booked
for visitors if required.
Reservations can view a series of reports showing details
of historical bookings and financial analysis of hospitality
orders either in their entirety or by individual cost code.

Commenting John Marshall, Eurest General Manager

Brian Amos, Centrica's Group Facilities and Maintenance
Manager also acknowledged the rapid development of the
solution and reiterated the feeling among Centrica staff:

the hassle associated with booking meeting rooms and
catering. Our staff can now book their own rooms and
catering and this empowerment has delivered a very positive
response. The process of booking meeting rooms has gone
from a situation of constant firefighting and reaction
to one of proactive, user-driven efficiency."

The Savings
With a dedicated reservations
co-ordinator managing the process of booking rooms, the previous
solution was costly and inefficient. The introduction of the
Just-Ask system has allowed the reservations co-ordinator
to be assigned other duties. In addition to the problem of
managing alterations to bookings, the previous system would
take up to 40 hours per week to manage. That process now takes
around five hours per week.
John Marshall: "I am genuinely amazed at the reduction in
management time. Just-Ask empowers the Centrica staff to make
their own bookings and all we have to do is respond to their
orders. The system even produces reports telling us what rooms
have been booked each day, what resources are required, what
catering has been ordered and a summary by cost code to supplement
our invoice. We have no disputed bookings, payments will now
be processed without delays and staff feel that they have
control over their own processes - marvellous!"
